Why proof of delivery documents go missing
Most POD losses trace to the same root cause: the document was created at the delivery point but had to physically travel back to the office. That journey is where things break down.
The paper return loop. A driver signs the CMR at the gate, keeps a copy in the cab, and returns to depot eventually — sometimes days later, sometimes on a different vehicle, sometimes not at all if the driver changes route mid-week. The 48–120 hour gap is where the document disappears.
Sub-contracted delivery segments. If a 3PL hands a shipment to a sub-carrier for the final leg, the POD process is now outside your direct control. Sub-drivers may use different systems, lose paper, or simply not return documents through your channel.

Contact the driver directly
If you know which driver handled the delivery, ask immediately. Many missing PODs are still in the cab — unsent, unfiled. Request a photo via WhatsApp as a stopgap while you arrange a formal copy.

Ask the consignee
The receiving party may have their copy of the signed CMR or delivery note. A written email confirmation from the consignee stating date, time, and reference can substitute as secondary evidence in most commercial disputes.

Check digital records
If you use a TMS, carrier portal, or any upload system, check for any digital record under the shipment reference. Even an incomplete or low-quality record is better than nothing when a customer disputes payment.
