PODFY QR Reporting · Gyms & sports

Out-of-order machines,
reported by your members.

Members notice a frayed cable or a treadmill belt that slips long before staff do. A QR code on every machine lets them report it in seconds, so the machine is checked before someone gets hurt or the next member gives up on it.

Example of a QR reporting form

Members see the problem first.

Gyms and sports facilities run dozens of machines per club. Staff cannot check every cable and belt every day, and members rarely walk to the desk to report a worn strap.

PODFY QR Reporting gives every machine a QR code. Members scan it, choose what is wrong and can add a photo. Your technical team or equipment supplier receives the report with the machine and the club.

Reports help you act sooner. Safety checks and maintenance planning stay with your own process.

  • QR code per machine and per club
  • Categories for wear, consoles, noise and cleaning
  • Photo of the worn part
  • Reports to the club manager or supplier
  • History per machine for maintenance
  • No app for members
A machine that may be unsafe should be taken out of use straight away. The sticker can ask members to tell staff as well; the report records the problem.

Getting started

Your asset list in, stickers out

  1. Download the template and fill in your asset numbers, names and locations, or export them from your own system.
  2. Upload it to PODFY. Every asset number becomes the reference behind its own QR code.
  3. Print the stickers. One per asset, with your logo and your own text, such as "Something broken? Scan to report".
  4. Stick and go. Reports arrive with the asset already identified.

FAQ

Questions about fitness equipment

Can members see that a machine has been reported?

Not at launch. The report goes to your team; you decide how to mark a machine as out of order in the club.

Can our equipment supplier receive the reports directly?

Yes. Add the supplier's address as a recipient, or send reports to their system with a webhook.

Can the same QR code be used again?

Yes. The code stays on the asset and every scan starts a new, separate report, so it works for the next problem too.

Do we get stickers for the machines?

Yes. PODFY generates a QR code and a printable sticker per asset, with your logo and your own text, for example "Scan to report an issue".
