PODFY QR Reporting · Vending

Make vending machine problems
easy to report.

A customer whose snack is stuck walks away annoyed, and you hear about it at the next service round or not at all. A QR code on the machine turns that moment into a report your team can act on, with the machine and location already filled in.

Example of a QR reporting form

Every machine is a small shop without staff.

Vending fleets are spread over stations, offices, schools and sports clubs. When something goes wrong, there is nobody to tell. Customers do not know who operates the machine, and a phone number on a sticker gets few calls.

PODFY QR Reporting gives every machine a QR code. A customer scans it, picks what is wrong and sends the report. Your route planner sees which machine needs attention and why, before the next visit.

PODFY routes the report. Refunds, payment reversals and customer replies stay in your own process.

  • Every machine identified by its own QR code
  • Categories for stuck products, payment and stock
  • Photo of the slot or the display
  • Reports to the route or service team
  • History per machine across all locations
  • No app and no account for customers
PODFY records refund requests but does not pay them out, and it does not promise customers a response time on your behalf. State on the sticker how refunds work in your organisation.

How teams use it

Use case 01

Fix before the next complaint

A stuck product or a dead card reader reported the moment it happens, not at the next round.

Use case 02

Smarter service rounds

Reports per machine help route planners decide which locations need a visit first.

Use case 03

Spot problem machines

The history shows which machines keep failing, useful when deciding on repair or replacement.

Getting started

Your asset list in, stickers out

  1. Download the template and fill in your asset numbers, names and locations, or export them from your own system.
  2. Upload it to PODFY. Every asset number becomes the reference behind its own QR code.
  3. Print the stickers. One per asset, with your logo and your own text, such as "Problem with this machine? Scan me".
  4. Stick and go. Reports arrive with the asset already identified.

FAQ

Questions about vending machines

Can customers request a refund through the report?

Yes. Add a refund request to the form, with the amount and the payment reference, and route it to your refund team. PODFY records and forwards the request; the payout itself stays in your own payment process.

Do we need one QR code per machine?

Yes. Every machine gets its own code, so each report is linked to the right machine and location without the customer typing anything.

Can the same QR code be used again?

Yes. The code stays on the asset and every scan starts a new, separate report, so it works for the next problem too.

What does QR Reporting cost?

You pay a fixed amount per active asset per month. No fees per report, per user or per QR code, and retired assets are free. Ask for a proposal for your fleet size.
