PODFY QR Reporting · Office equipment

Error code on the printer?
Scan, snap, reported.

Printer problems are reported as "the printer is broken again". A QR code on each device lets the employee report the jam, the toner or the exact error code with a photo of the display, and the service desk knows which device it is.

Example of a QR reporting form

The error code is right there. The ticket rarely has it.

Managed print providers and IT departments look after hundreds of devices. Most tickets arrive without the device number or the error code, so the first call is spent finding out which printer it is and what the display says.

PODFY QR Reporting gives every device its own QR code. The employee scans it, chooses the problem and photographs the display. The report arrives with the device, the location and the error, ready for the technician or the help desk.

PODFY does not read the device remotely. It makes the human report complete.

  • QR code per device with location
  • Categories for jams, toner, errors and quality
  • Photo of the error code on the display
  • Reports to the help desk or print provider
  • Webhook into your IT service desk
  • History per device
Reports are for faults and supplies. Overheating or a burning smell is reported to facilities directly.

Getting started

Your asset list in, stickers out

  1. Download the template and fill in your asset numbers, names and locations, or export them from your own system.
  2. Upload it to PODFY. Every asset number becomes the reference behind its own QR code.
  3. Print the stickers. One per asset, with your logo and your own text, such as "Printer problem? Scan to report".
  4. Stick and go. Reports arrive with the asset already identified.

FAQ

Questions about printers and copiers

Can the help desk receive reports in its own ticket system?

Yes. Reports are e-mailed and can be sent to your IT service desk with a webhook, so they arrive as tickets.

Is the photo of the display required?

You decide per form. For printers a photo is often useful, because it captures the exact error code.

How do we add our machines or assets?

Download the asset template, fill in your asset numbers, names and locations, and upload it. Every asset number becomes the reference on its own QR code.

Do the people reporting need an app or an account?

No. They scan the QR code with their phone camera and the form opens in the browser. No app, no login, no account.
