PODFY QR Reporting · Facility services

Clean when it is needed,
not only when it is scheduled.

Cleaning rounds run on a schedule, while problems happen in between. A QR code in every restroom lets visitors report a blocked toilet, empty soap or a leak, so your cleaning team goes where it is needed first.

Example of a QR reporting form

Visitors notice. Cleaners find out at the next round.

Facility service companies, stations, offices, venues and events clean on a schedule. Between rounds, an empty dispenser or a blocked toilet stays that way, and the complaint reaches the client before it reaches the cleaner.

PODFY QR Reporting puts a QR code in every restroom. Visitors pick what needs attention and send it. Your cleaning team gets a report with the exact restroom and time, and the history shows which locations need more frequent rounds.

It works for any space where visitors can tell you more than a schedule can.

  • QR code per restroom or per area
  • Categories for cleaning, supplies, blockages and leaks
  • Reports to the cleaning team on duty
  • History per location to plan rounds
  • Your client's branding on the form
  • No app, works for every visitor
A leak or flooding near electrical installations goes to facilities or security directly. The report is for cleaning and follow-up.

How teams use it

Getting started

Your asset list in, stickers out

  1. Download the template and fill in your asset numbers, names and locations, or export them from your own system.
  2. Upload it to PODFY. Every asset number becomes the reference behind its own QR code.
  3. Print the stickers. One per asset, with your logo and your own text, such as "Needs cleaning? Scan to report".
  4. Stick and go. Reports arrive with the asset already identified.

FAQ

Questions about restrooms and cleaning

Can reports go to the cleaner on duty?

Reports go to the addresses you choose, for example the shift supervisor's mailbox, or to your planning system with a webhook.

Can we use our client's branding?

Yes. Each client can have its own logo and colours on the form and the stickers.

Is a photo required?

You decide. Per QR form you choose whether a photo is required, optional or switched off.

What does QR Reporting cost?

You pay a fixed amount per active asset per month. No fees per report, per user or per QR code, and retired assets are free. Ask for a proposal for your fleet size.
