PODFY QR Reporting · Fleet & logistics

Damage on a trailer?
Reported at the hand-over.

Trailers and containers change hands many times a day. Damage found at the yard is often reported late, without the unit number, and nobody knows who caused it. A QR code on every unit lets the driver or yard staff report it on the spot, with photos and time.

Example of a QR reporting form

Every hand-over is a chance to lose track of damage.

Fleet owners, trailer rental companies and container operators depend on drivers and yard staff to notice problems. In practice, damage is reported by phone, days later, or only when the next customer complains.

PODFY QR Reporting gives every trailer and container a permanent QR code. Whoever handles the unit scans it, chooses what is wrong and adds photos. The fleet team receives a timestamped report linked to the unit number.

It works on the same platform carriers already use for PODFY proof of delivery, so drivers know the flow.

  • Permanent QR code per trailer or container
  • Categories for damage, lights, doors and reefer
  • Timestamped photos at the hand-over
  • Reports to fleet or maintenance
  • History per unit for damage disputes
  • Same flow drivers know from PODFY POD
A trailer with a safety defect such as brakes, tyres or lights must not be driven. The report records the problem; it does not replace the roadworthiness check.

How teams use it

Use case 01

Damage at hand-over

Photos and time recorded when the unit changes hands, so the history shows when damage appeared.

Use case 02

Trailer rental

Customers report problems during the rental, linked to the right unit.

Use case 03

Reefer units

Temperature alarms or cooling problems reported by the driver, next to your own telematics.

Getting started

Your asset list in, stickers out

  1. Download the template and fill in your asset numbers, names and locations, or export them from your own system.
  2. Upload it to PODFY. Every asset number becomes the reference behind its own QR code.
  3. Print the stickers. One per asset, with your logo and your own text, such as "Damage or defect? Scan to report".
  4. Stick and go. Reports arrive with the asset already identified.

FAQ

Questions about trailers and containers

Can the report help in damage disputes?

The history per unit shows reports with photos and time, which helps to see when damage was first recorded. It does not prove who caused it.

Does it work with our telematics?

Reports can be sent to your systems with a webhook, next to your telematics data. PODFY does not read telematics itself.

How do we add our machines or assets?

Download the asset template, fill in your asset numbers, names and locations, and upload it. Every asset number becomes the reference on its own QR code.

Do we get stickers for the machines?

Yes. PODFY generates a QR code and a printable sticker per asset, with your logo and your own text, for example "Scan to report an issue".
