PODFY QR Reporting · Office & hospitality
A faster way to report
coffee machine issues.
When the coffee machine on the third floor stops, ten people notice and nobody reports it, or five people mail facilities about "the machine". A QR code on each machine gives one clear report with the right machine and location.
"The coffee machine is broken" is not a useful ticket.
Coffee machine service providers look after hundreds of machines in offices they do not run. Facility managers get vague messages, pass them on, and the technician still has to find out which machine it is and what is actually wrong.
With PODFY QR Reporting every machine carries its own QR code. An employee scans it, picks the problem and sends it. The service provider or facility team receives a report that names the machine and the location, often with a photo of the display.
PODFY does not diagnose the machine or plan maintenance. It makes sure the report reaches the right people, complete.

Getting started
Your asset list in, stickers out
- Download the template and fill in your asset numbers, names and locations, or export them from your own system.
- Upload it to PODFY. Every asset number becomes the reference behind its own QR code.
- Print the stickers. One per asset, with your logo and your own text, such as "Coffee machine issue? Scan me".
- Stick and go. Reports arrive with the asset already identified.
FAQ
Questions about coffee machines
Can reports go to both the service provider and our facility team?
Yes. Each report can be e-mailed to several addresses, for example the service provider's desk and your own facilities mailbox.
Can the form carry our customer's branding?
Yes. As with PODFY's delivery links, the reporting form shows the logo and colours you choose.
Is a photo required?
You decide. Per QR form you choose whether a photo is required, optional or switched off.
Can reports go straight into our ticketing or maintenance system?
Yes. Reports are e-mailed to the people you choose, routed per location or category, and sent by webhook to your ticketing, maintenance or work-order system. With the open API you fetch reports and update their status from your own tools.
