PODFY QR Reporting · Field assets
Capture equipment issues
where they happen.
Generators, pumps, compressors, barriers and rental equipment are often far from the people responsible for them. A QR code on each asset lets whoever is on site record a fault or damage the moment they see it, with the asset already identified.
The asset is out there. The information is not.
Rental companies, service organisations and industrial sites manage equipment across many locations. Damage is noticed by a driver, a contractor or a site worker who does not know who to tell, and the information arrives late, by phone, without the asset number.
PODFY QR Reporting fixes the asset reference at the source. Each asset carries a QR code for its whole life. Whoever scans it records what they found, with a photo and the time, and the responsible team is notified.
Reports document observations. Maintenance planning and repairs stay with your own systems.
- A permanent QR reference per asset
- Categories for faults, damage and inspection notes
- Timestamped photos of what was found
- Notification to the asset owner or service team
- History per asset across all sites
- Works for contractors without an account
How teams use it
Use case 01
Rental returns and hand-overs
Damage recorded on site with a photo and time, before the next user takes over.
Use case 02
Unmanned sites
Contractors and drivers report what they see on equipment nobody checks daily.
Use case 03
Inspection observations
Findings during a walk-round linked to the exact asset, instead of a list typed up later.
Getting started
Your asset list in, stickers out
- Download the template and fill in your asset numbers, names and locations, or export them from your own system.
- Upload it to PODFY. Every asset number becomes the reference behind its own QR code.
- Print the stickers. One per asset, with your logo and your own text, such as "Fault or damage? Scan to report".
- Stick and go. Reports arrive with the asset already identified.
FAQ
Questions about remote equipment
What happens when an asset moves or is replaced?
The QR code belongs to the asset, so its history moves with it. A replaced asset gets a new code, and the old one is retired without losing past reports.
Can contractors report without an account?
Yes. Anyone who can scan the code can send a report, which is exactly what makes it useful for contractors and drivers.
Does PODFY use the phone's location?
It does not need to. The asset and its location are known from the QR code, so a report works without location permission.
Where is report data stored?
Reports and photos are stored in the EU on the same platform as PODFY's delivery records. E-mail delivery uses the subprocessors listed on the Trust page.
